Privacy Policy

1. What we collect

You give us directly: your name, email, the book idea you share on a strategy call, billing details when you become a client, anything you put in our contact form, and replies to our onboarding questionnaires.

We collect automatically: anonymized page views, scroll depth, the country you visited from, and the device you used. We use Google Analytics 4 with IP anonymization enabled, so Google never sees your full IP.

2. How we use it

• To reply to your inquiry, send you the strategy call invite, and (if you opted in) the newsletter.
• To deliver the service you purchased — ghostwriting, editing, design, publishing, marketing.
• To improve this website — anonymized analytics tells us which pages help and which don't.
• To meet legal obligations (invoices, tax records, fraud prevention).

3. Who we share it with

Almost nobody. We use a small set of vetted processors — Stripe and PayPal for payments, Google Workspace for email and storage, AWS for hosting, ConvertKit for newsletters. Each is bound by a data-processing agreement. We never share your manuscript, business info, or contact details with third-party marketers, list brokers, or AI training pipelines.

4. How long we keep it

Inquiry emails: 24 months unless you ask us to delete sooner. Client project files: 7 years for tax and legal reasons. Anonymized analytics: 14 months. Newsletter unsubscribe: instant, then we tombstone your record.

5. Your rights

Under GDPR, CCPA, and most regional privacy laws, you can:

• Access — request a copy of everything we hold on you.
• Correct — fix anything that's wrong.
• Delete — erase your record entirely.
• Port — get your data in a machine-readable format.
• Object — opt out of processing for marketing at any time.
• Complain — escalate to your local data-protection authority.

6. International transfers

We're a US company with team members in the UK and EU. Data may be processed in any of these regions. We rely on Standard Contractual clauses for transfers out of the EU/UK and on equivalent protections for transfers to the US.

7. Children's data

Pooky Books is a B2B service. We do not knowingly collect data from anyone under 16. If you believe a minor has submitted data to us, email privacy@pookybooks.com and we'll delete it within 24 hours.

8. Security

All data in transit is encrypted via TLS 1.3. Production databases are encrypted at rest. Access is logged and limited to staff who need it. We run quarterly access reviews. No system is unhackable, but we do our best.

9. Changes to this policy

If we make material changes, we'll email active clients and post a banner on the site for 30 days. The "Last updated" date at the top always reflects the current version.
